Data Deletion Instructions

Email support@pineyard.ai from the email address associated with your Pineyard AI account. Use the subject “Data deletion request” and include:

• Your full name and the email address used for your Pineyard AI account.
• Your business or workspace name.
• Whether you want the entire account deleted or only data from a connected Meta or WhatsApp Business account.
• The connected WhatsApp business phone number, if the request concerns a WhatsApp connection.

Do not send passwords, access tokens, one-time passwords, payment-card details, or other account secrets with your request.

We may ask for limited additional information to confirm that you are the account owner or an authorised administrator of the relevant workspace. We use verification information only to authenticate and complete the request. We will not delete another person's or organisation's data without appropriate authority.

Depending on the scope of your request, deletion or irreversible anonymisation may include:

• Pineyard AI account and workspace profile information.
• Contacts, leads, campaign data, call records, recordings, transcripts, and related analytics controlled by your workspace.
• Connected Meta and WhatsApp Business account identifiers, phone-number details, encrypted access credentials, and connection settings.
• Copies of WhatsApp message templates, conversations, message content, media references, delivery records, and webhook data stored by Pineyard AI.
• Other personal data processed for the requested account or integration, where deletion is permitted by law.

You may also remove Pineyard AI from your Meta Business integrations or disconnect the WhatsApp integration in Pineyard AI. Revoking access prevents future access but does not by itself delete information that Pineyard AI previously processed. Submit the deletion request above if you also want previously stored data deleted.

We acknowledge deletion requests within forty-eight (48) hours and aim to complete verified requests within thirty (30) days. We will confirm completion using the verified account email address. Data in encrypted backups may remain until the applicable backup is securely overwritten through our normal retention cycle.

We may retain limited information where required for tax, accounting, fraud prevention, security, dispute resolution, or other legal obligations. We may also retain aggregated or irreversibly anonymised information that can no longer identify you. Retained information is restricted to the purpose requiring its retention and is deleted when that requirement ends.
